As a sole proprietor and with limited budget in hand, I have to ponder on the documentations needed to run a clinic. After much thought, I decided to prepare and design by myself with the resources I have. From scratch I slowly managed to ensure all the essentials documentations are ready prior to clinic's operation. The task turned out to be easier than anticipated if it is done with patience and enthusiasm.

  • Quarantine letter for communicable disease
  • Blood pressure & blood glucose monitoring chart 
  • Leave application form
  • Pre Fomema template
  • Medications pricing list (latest regulation enforced under Price Control and Anti-Profiteering [Price Marking for Drugs] Order 2025) 
  • Receipt template (to standby during blackout) 
  • Medical certificate (MC) template (to standby during blackout) 
  • Drug prescription label (to standby during blackout) 

There are also important monitoring to be conducted in clinic to enhance smooth functioning. Those include👇 

  • Fridge and temperature monitoring
  • Medications stock monitoring
  • Pest control records
  • Clinical waste records
  • Notifiable infectious disease records
  • Test kits monitoring
  • Sterile instrument monitoring
  • Medical equipment monitoring (eg: syringes, needles, branulas, gloves, masks, dressing items, nebulizer set, drip set)

Roughly the above are the vital documentations needed. It is better to prepare the paper work ahead to avoid chaos during peak operation hours. A spectacular achievement begins with preparation.

ENCHANTING WORKING ENVIRONMENT

In all my earlier post, I have spoken on the measures for a new private clinic set up. I really hope the information shared benefits those in the dark.

Clinic Set Up              Clinic Growth 

One more essential component to emphasize on, EMPLOYER - EMPLOYEE RELATIONSHIP. An employer is a person, company, or organization that hires one or more individuals to work for them whereas an employee is a person who has agreed to be employed to work for wages. No man can run a show without the helping hand of workers. This highlights the crucial role employees play in the success of any endeavor. A good relationship between an employer and employee can lead to higher productivity, lower turnover rates, boosted job satisfaction rates, and morale amongst employees.

How to develop a healthy surrounding?😇

1st principle: SEE NO EVIL🙈 HEAR NO EVIL🙉 SPEAK NO EVIL🙊

As head of the clinic, I ensured that I walk the talk. Having gone through a poor employer-employee relationship myself previously, I didn't prefer the similar to occur. When the bond between the boss and the staff is great, the place of practice becomes fun.

THE DOs👇

a) Treat each and every staff equally 

b) Understand their field of strength and capabilities

c) Always teach and guide them in a humble manner

d) Join in together in the work task 

e) Respect your workers/staff 

f) Praise and appreciate their effort publicly and timely

g) Make them feel welcomed

h) Address any shortcomings in private 

i) Take into consideration their ideas and suggestions 

j) Have meals together without discrimination 

The tiny and little things done are sufficient to create a harmonious environment. It's not necessary to organize a grand celebration or ceremony for their acknowledgement. A simple gesture will definitely have a remarkable imprint or impact.

THE DON'Ts👇

a) Criticize or condemn them in public

b) Use foul words or language towards them

c) Comparing between staff

d) Talk ill about a staff to another employee

e) Treat staff based on hierarchy

f) Misuse position as a head by giving out orders inconsiderately 

A leader leads by examples. He or she should demonstrate the behaviours, values, and work ethics expected from the team members with honesty, confidence, compassion, intelligence, and humour. When leaders do not practice what they preach, it can be almost impossible for a team to work together successfully. Respect is a two way street; if you want to get respect, you have got to give respect. 6 + 3 = 9 but so does 5 + 4. The way you do things isn't always the only way to do them. Respect other peoples' way of thinking too.

3. Prepare the required documents and submit to the respective panels either by email or postage depending on the requirement given.

4. Await for their feedback on your application and do the necessary amendments if needed.

5. Always keep in touch with the panels do be updated on the application status.

KICKSTART TO CLINIC GROWTH PART 2

Before we begin our ride today, let's recap on the tips highlighted in my last blog post. Initial baby steps to consider for a new operating private clinic are as follows👇

  • Banner hung to notify on clinic operation details
  • Conduct free health campaign to attract public
  • Display clinic services at entrance
  • Register clinic with Google to aid in public search
  • Create a website page for your clinic
  • Maximize the usage of social media by creating Facebook, Instagram, Tik Tok page as a platform to display clinic's health talk/promotions 

Now to strengthen the bond and rapport with patients, we need to take the initiative to get their feedback/comment on the services provided, treatment choices, and explanations given to them. Always keep in mind that patients are doctor's best teachers. The doctor heals but only because the patient guides the way. Only through their individual stories do we ever bring to patients diagnosis, treatment, care, and improved well being. Listen to everyone and learn from everyone because nobody knows everything but everyone knows something. 

I would like to share a true scenario. One fine day, patient A with underlying comorbidities had an appointment with doctor B. It was patient A's first consultation with the respective doctor. Patient A presented with the symptoms of fever, frequent urination, shortness of breath, palpitation, and lethargy. Admission was advised for further investigations. After multiple blood tests, radiological investigations, and procedures, patient A was diagnosed to have bilateral pyelonephritis and triple vessel disease. Patient A was subsequently referred to doctor C for the treatment of kidney infection prior to the management of heart disease. Few days later, patient A was discharged by both doctors with medications. However, patient A developed side effects with the medications but neither doctor were keen to listen to patient A during the follow up. Instead they were justifying their medication choices based on studies conducted and continued to prescribe the similar medications for patient A without taking into consideration the complaints addressed. In no time, patient A was admitted again to another health facility with recurrent kidney infection. This time round, patient A strictly emphasized on the side effects of certain medications to the treating doctor as afraid the similar medications will be prescribed. Within few days, patient A was discharged home well. 

To conclude, each patient's body system reacts differently to medications. Hence, studies or journals do play a role as a guide but can't be 100% utilized on every patients. It is very important to listen to each patient's presentations/complaints and treat accordingly to speed up their recovery process. No matter what, patients are the best educator. Do not forget one of the four medical ethics pillars, 'non-maleficence', which means do no harm.

emphasizes the patient's right to make their own decisions about their healthcare

*Beneficence 
requires healthcare professionals to act in the best interest of their patients

*Non-maleficence 
obligates healthcare professionals to avoid actions that could potentially harm their patients

ensures that all patients are treated equally

KICKSTART TO CLINIC GROWTH PART 1

Hope you enjoyed the clinic tour in my last blog post😉As I announced in my previous post, Klinik Bloomcare started operating since January 2025. 1st step of a clinic set up achieved. Now, comes the next step GROWTH OF A NEW CLINIC  which is an essential component for any new private clinic to bloom. The process is extremely tough and requires tons of dedication and patience. Establishing a new clinic amidst of other reputable clinics is challenging. However, one must never give up hope because your miracle could be right around the corner. Always stay positive and be positive😇Success doesn't miraculously happen overnight, it's a slow process that takes hard work.

So as a start, a banner is hung to acknowledge to the public that clinic has started operating. As I mentioned in my earlier post, a precise and concise banner design should be chosen. Followed by organizing a free health campaign on medical check up. This helps to notify the public on the existence of a new private clinic in that particular area. The approach to advertise the health campaign, can be done in few methods:-

  • Banner

  • Pamphlets

  • Social media - through WhatsApp message distribution

  • Physically meeting up with owners of nearby commercial units

With this, a bond is built between the public and you. It is a strategy that allows public to recognize your clinic, knows who is the doctor in charge, and to be aware of the services provided by your clinic. Ensure to display all the clinic services available at the entrance of clinic along with the operation hours and clinic contact details.

Furthermore, apply to register your new clinic in google to facilitate the public to locate your clinic. Do include as much information as possible such as👇

a) Clinic address

b) Operation hours

c) Contact numbers

d) Services available

e) Website page

f) Social media page link - eg: facebook, instagram 

Social media is an important platform to promote and advertise a new private clinic by way of sharing health related content, health services, health promotions and directly engaging with the public. Facebook, Instagram, Tik Tok are few of the common website used for marketing. One can opt for a trouble free method by engaging a marketing manager for clinic promotion. I personally did every single thing from scratch in order to cut down on cost. The process was nerve racking but every single moment of it was thrilling as I learned countless new skills in information technology. Life is about learning, anyone who keeps learning stays young😎I was lucky to have wonderful staff who gave me and still giving me a hand in creating digital posters for the clinic social media page.

JOURNEY TO CLINIC OPERATION PART 3

In my last post, I successfully managed to finalize on the staff. Today's blog, I will bring you on a ride through the final and most important part of a clinic set up. Come on, hop in😎

Arrangement of clinic plays a vital role for the comfort of patients. Organization includes:-

a) Proper placement of loose furnitures (eg: chairs, tables, cupboards) - always maintain a spacious and less congested area

b) Storage of medical equipment - should be easily accessible

c) Display of medications - separate each medication based on the symptoms/illness for easy handling and to prevent errors

d) Labelling of medications and equipment - for effortless access

e) Necessary stationery

f) Sufficient patient waiting chairs 

Ensure that the clinic gives a welcoming, spacious, peaceful, and calm ambiance. The right lighting, right wall paint, the right type of flooring, and the right organization contribute to a serene environment. Keeping all the above in mind, I had to ensure to comply to them. Looking at my packed schedule it was tough for me to be at multiple places at once. I decided to quit freelancing to focus only on preparing my clinic. I was adamant to manage everything independently as I chose not to burden anyone along the way. The hardest walk is walking alone, but it is also the walk that makes you the strongest. One need to learn independence as being independent builds character. Day and night I struggled to put together my clinic. It was an exhausting process but all are worth it as the clinic turn out beautifully😉

A piece of advice, placing posters with motivational quotes and a children's play/educational corner can create a colourful and joyful atmosphere. 

Months passed by, finally the awaited day arrived. Received an email that my clinic application has been APPROVED & I'm able to start operating. Yeahhhhhhhhhhhh!!!😍Congratulations to me😃A dream doesn't become reality through magic, it takes sweat, determination, hard work, and patience. I'm happy to announce that Klinik Bloomcare started it's operation since January 2025👏👏.

JOURNEY TO CLINIC OPERATION PART 2

Hope you enjoyed the read of my 1st blog. Let's continue the road trip to clinic operation. In my last blog, I listed out the steps for a private clinic set up and lastly I highlighted on appointment of staff - one of #THE CHALLENGE OF AN EMPLOYER#😰To be honest it was a tedious process as I was still freelancing. I had to juggle between both my job and my upcoming dream.

No facility can function without a helping hand of staff. Hence, the search begun for suitable candidates to fill in the clinic assistant position. To ease the process, a BANNER for job vacancy was hung as a way of communication with the public. Banner is often a popular tool used for advertising. Tips on banner design👇

a) big & visible size

b) eye-catching design

c) attractive background colour 

d) concise information (avoid lengthy text)

Slowly multiple enquiries and resumes received pertaining to the job post. I was particularly impressed with a resume which showed the candidate was serious in the application and went the extra mile to acknowledge about her skills and accomplishment. Despite minimal knowledge in clinical field, I was moved by her eagerness and humbleness to learn. It doesn't matter if you have lack of knowledge or zero experience in any particular field, the strong desire to upgrade yourself and the willingness to equip yourself with new skill counts. I placed the candidate at the top of my list. 

While browsing for another potential candidate, I bumped into an eligible applicant. This particular candidate had vast experience in clinical field but what attracted me the most was her modestness in approaching for the job position. Mere politeness was noticed in all the text messages. No rudeness or sudden ending of conversation or replying with a single emoji/abbreviation. It doesn't matter how much achievements or experience gained, always be like the rice stalk, it bends lower as it is laden with ripening grains. True worth and status are not displayed through arrogance but via grounded demeanor.

After thorough consideration and interviews, I Finalized😂the candidates for the vacancy. Till date I didn't regret appointing both of them as I appreciated their contributions for the growth of my clinic. They patiently waited for months to start job as approval from CKAPS was still pending for clinic operation. Phew clinic staff part sorted out😬Now comes another challenge on the organization and arrangement of clinic. The journey continues in my next post...........

JOURNEY TO CLINIC OPERATION PART 1

We are pleased to inform that this blog is created after a long thought process to share, motivate, and guide those who are waiting to be reached out, in need of advice or in search of enlightment. This blog is merely focused on personal development instead of clinic marketing.

For today's blog, I will narrate on my hurdles up to the moment of achieving my dream, 'TO RUN MY OWN GP CLINIC'. It all started after I had to make the toughest decision of my life to quit working as a government servant due to unforeseen situations. I had to make such choice for my mental wellbeing and peace of mind. Prior to that option, I was in a dilemma for few months pondering on the right solution to be made. Consistent prayers and thorough consideration gave me the courage to step into a new phase of life. Now I have not regretted a single day on the path I chose.

Of course financial is a big factor that always kept me from moving towards my goal but with sheer determination I took the risk and never once lose faith in the Almighty. True enough after 2 months of looking for a job, I managed to secure a post as a locum doctor in a private clinic. Although the distance and shift timing was not according to what expected, I had to put all those aside and focus to my one and only goal, 'TO RUN MY OWN GP CLINIC'. Working as a freelance locum doctor was an advantage to me as I was able to gain as much experience before starting a clinic of my own. Various outpatient cases of illness, new medications, and patients/relatives with many demands I came across during my shift. All of these gave me a gist on the likelihood I would encounter once I operate on my own.

As always one is bound to face issues at work place which most often arise from gossips resulting in an unhealthy working environment. I experienced the same. Somehow I managed to endure it by remaining calm and compose. Silence is sometimes the best answer especially when it comes to preserving mental health. Avoid arguments that serve no purpose and be bold to walk away not because we are afraid but to protect our mental peace. The utmost thing that was constantly ringing in me is that, 'i need to save as much as possible for my upcoming clinic set up'. Keeping this in mind, I strive forward each day.

Days, weeks, months passed by. Throughout, the process to set up my dream was ongoing with the continuous guidance from my family, the Almighty, and ancestors' blessings. Never once I stepped back after putting a step in front. As a guide to doctors who are planning to set up their own private clinic, below are the rough procedures:

a) Find a strategic & affordable shoplot unit for rental/purchase (depending on financial capability)

b) Hire a contractor for clinic renovations (look for those that comes with loose furnitures, medical equipments in their package; this cut down on cost)

 * I would  personally recommend TRIVEDIENT VENTURES SDN BHD as they did a amazing job for my clinic renovations

c) Finalize a clinic name and signboard design

d) Register clinic in SSM (Suruhanjaya Syarikat Masyarakat) - follow the necessary steps mentioned in the SSM website

e) Search for a reliable Company Secretary and Accountant (a prerequisite requirement for the completion of SSM registration)

f) Open a company bank account (advisable to survey an easy accessible bank at the clinic area of interest) 

g) Engage with a Clinical Waste Management & Pest Control Management company (ESSENTIAL)

h) Application for CKAPS (Cawangan Kawalan Amalan Perubatan Swasta) approval - the utmost MAJOR process - one can breath a sigh of relief once this phase is completed😅

i) Order medications from pharmaceutical company of your choice (my sincere advise is to purchase medications that are generally effective for overall age group, of course cost is a matter but it is better to treat right & ethically) *ongoing process while awaiting CKAPS approval

j) Engage with a suitable laboratory *ongoing process while awaiting CKAPS approval

k) Choose a clinic system software programme that is convenient to use (make sure the system has included on drug label prescription, medical certificate, time slip, referral, receipt printing, stock management, finance report) *ongoing process while awaiting CKAPS approval

l) Deciding on clinic staff to appoint - a difficult process too😵  #THE CHALLENGE OF AN EMPLOYER#
